Dan Mehta, a realtor from Mississauga, ON (Canada), is seeking a highly organized and proactive Virtual Assistant to manage and nurture a database of leads, which includes past clients, online leads, and referrals. The Virtual Assistant will be responsible for making outbound calls, managing lead follow-up, setting appointments, and maintaining the CRM systems (Follow Up Boss and YLOPO).
Primary Responsibilities:
Lead Management and Prospecting:
Make outbound calls to the current database and incoming online leads using the LPMAMA (Location, Price, Motivation, Agent, Mortgage, Appointment) script.
Organize and manage current leads in Follow Up Boss (FUB).
Build and manage Action Plans in FUB.
Build and manage Automation in FUB.
Send listing alerts from YLOPO.
Engage and service leads using FUB and YLOPO.
Appointment Setting:
Book appointments with leads using structured scripts and follow-up protocols.
Ensure all appointments are accurately recorded and promptly followed up.
CRM Management:
Maintain and update the CRM systems (Follow Up Boss and YLOPO) to ensure all lead information is current and accurate.
Implement and optimize automation workflows within the CRM.
Monitor and manage Smart Lists to ensure consistent follow-up and engagement.
Secondary Responsibilities:
Administrative Support:
Manage Dan Mehta’s email and calendar, ensuring timely responses and scheduling.
Organize to-do lists, send reminders, and ensure all pending tasks are completed.
Listen to prospecting calls and take detailed notes for future reference.
Send lead prospecting SMS on behalf of Dan Mehta.
Answer incoming phone calls and handle inquiries from prospective clients.
Manage and update scoreboards and other performance trackers.
Social Media Management:
Manage social media accounts by posting updates, responding to messages, and engaging with followers.
Ensure consistent branding and communication on social media platforms.
Support Activities:
Assist with file management and document organization.
Help with the preparation of marketing materials and presentations.
Knowledge/Skills:
Strong written and verbal communication skills.
Exceptional telephone skills—ability to set and close appointments over the phone.
Proficiency in using CRM software, particularly Follow Up Boss and YLOPO.

Compensation:
Base Pay + Bonus upon successful deal closures.
