Job Overview:
We are seeking a proactive and detail-oriented Virtual Assistant to help manage the business aspects of our remodeling company. The ideal candidate will assist with various administrative tasks to ensure smooth operations and allow the owner to focus on field operations and sales.

Responsibilities:

Email and Communication Management:

Review and respond to emails.
Reply to voicemails.
Follow up on proposals and unpaid invoices.
Scheduling and Lead Management:

Schedule estimate appointments.
Screen and qualify leads before scheduling site inspections.
Permit Applications:

Apply for permits as needed, understanding that some jurisdictions require in-person applications while others can be completed online.
Human Resources Management:

Manage new employee registration.
Handle payroll processing.
Pay subcontractors.
Prepare and manage 1099 forms.
Bookkeeping and Financial Management:

Assist with job costing by assigning costs to projects.
Generate project reports during and after project completion to ensure budget compliance.
Send invoices and track payments.
Process Improvement:

Develop and implement procedures to streamline business operations.
Tools and Software:

Google Drive for file management.
JobTread for project management.
QuickBooks Online for expense tracking.
Xactremodel for creating proposals.
Qualifications:

Experience in administrative support, preferably in the construction or remodeling industry.
Proficiency with the mentioned tools and software.
Strong organizational and communication skills.
Ability to work independently and proactively.
Detail-oriented with excellent problem-solving skills.
