Position Overview:
We are seeking a proactive and highly organized Virtual Assistant to provide comprehensive support in managing day-to-day tasks related to our rental property portfolio. This role will involve coordinating tasks, maintaining schedules, communicating with stakeholders, and ensuring the seamless operation of our property management processes.
Responsibilities:
Task Coordination: Effectively manage and prioritize the CEO’s to-do list, ensuring all essential tasks are completed efficiently.
Software Management: Oversee the operation of property management software, ensuring accurate and up-to-date records.
Schedule Management: Maintain the CEO’s schedule and property maintenance schedule, ensuring appointments and tasks are coordinated effectively.
Call Scheduling: Schedule calls and appointments as needed, coordinating with various parties.
Contractor Communication: Send weekly task lists and deliverables to contractors, with communication conducted in Spanish.
Maintenance Reminders: Maintain monthly reminders for property management, ensuring all necessary tasks for property upkeep are addressed.
Tenant Payment Follow-Up: During the first week of each month, follow up via email for tenant payments and provide payment updates.
Late Payment Management: Communicate with tenants regarding late payments, facilitating updates and arranging resolution.
Rental Invoicing: Prepare and send rental invoices, reminders, and receipts upon payment.
Airbnb Inquiries: Handle inquiries related to Airbnb bookings, providing timely responses and managing bookings.
Investor Newsletters: Send bi-weekly newsletters to investors, sharing updates and pertinent information.
Email List Management: Maintain and manage email lists, ensuring accurate and organized communication.
Requirements:
Bilingual Skills: Proficiency in Spanish and English, both spoken and written.
Communication Skills: Ability to effectively communicate through emails and text messages.
Software Proficiency: Experience in managing project management software and other relevant tools.
Organizational Skills: Exceptional organizational skills to manage schedules, tasks, and communications.
Proactivity: A proactive approach to identifying potential issues and addressing them promptly.
Attention to Detail: Meticulous attention to detail to ensure accuracy and completeness in all tasks.
Adaptability: Flexibility to handle varying tasks and responsibilities in a dynamic environment.
