Overview:
We are seeking a highly organized and proactive Virtual Assistant to support our Regional Sales Manager in managing their busy schedule and optimizing overall productivity. The ideal candidate should possess excellent communication skills, attention to detail, and the ability to work independently. This is a remote position suitable for someone with a flexible schedule.
Responsibilities:
-Calendar Management:
-Coordinate and manage the Regional Sales Manager’s calendar, including scheduling client meetings, appointments, and conference calls.
-Ensure that all travel arrangements, such as flights and accommodations, are well-coordinated and aligned with the manager’s preferences and schedule.
-Travel Coordination:
-Book flights, hotels, and transportation for the Regional Sales Manager’s business trips.
Keep track of travel itineraries, confirmations, and provide detailed travel packs for each trip.
Administrative Support:
-Assist in the preparation of presentation materials, reports, and other documents as needed.
-Manage and organize emails, responding to routine inquiries and flagging important messages for the manager’s attention.
Communication:
-Act as a liaison between the Regional Sales Manager and clients, ensuring clear and timely communication.
-Handle incoming calls and messages, redirecting or responding as appropriate.
Data Management:
-Maintain an organized filing system for important documents, contracts, and client information.
-Update and manage databases related to clients, contacts, and sales leads.
Task Coordination:
-Coordinate tasks with other team members, both internal and external, to ensure seamless execution of projects and initiatives.
Problem-Solving:
-Proactively identify potential scheduling conflicts or issues and propose solutions.
-Address any administrative challenges that may arise, demonstrating a proactive and solutions-oriented mindset.
Requirements:
-Ability to work in American Time Zones independently and remotely.
-Proven experience as a Virtual Assistant or in a similar role.
-Strong organizational and multitasking skills.
-Excellent written and verbal communication skills in English.
-Proficiency in using communication tools and productivity software.
-Familiarity with travel planning and coordination.
