Position Overview:
We are seeking a highly skilled and experienced Virtual Assistant to provide comprehensive support to our two founders based in Australia. The ideal candidate will have a proven track record of successfully assisting executives, managing various day-to-day tasks, fostering a positive work culture, and enhancing overall efficiency. The role requires exceptional organizational abilities, impeccable communication skills, attention to detail, and a touch of ingenuity to tackle challenges creatively.
Responsibilities:
Assist the founders in managing their day-to-day activities, including calendar management, email correspondence, and task prioritization.
Handle human resources tasks such as coordinating recruitment efforts, onboarding new hires, and maintaining employee records.
Contribute to fostering a positive work culture by organizing team-building activities, recognition programs, and wellness initiatives.
Coordinate events, both virtual and in-person, ensuring seamless execution from planning to follow-up.
Manage meeting logistics, including scheduling, agenda preparation, and documentation of minutes.
Play a pivotal role in enhancing time efficiency by identifying areas for improvement and implementing streamlined processes.
Conduct research, gather data, and prepare reports or presentations as required by the founders.
Act as a gatekeeper, screening and filtering communications to ensure the founders’ time is optimally utilized.
Provide occasional personal assistance tasks to support the founders in maintaining work-life balance.
Requirements:
Minimum of 5 years of experience working as a Virtual Assistant, preferably in a role supporting C-level executives or founders.
Proven experience in providing support to Australian executives, understanding the local business landscape, and adapting to time zone differences.
Exceptional written and verbal English communication skills, with the ability to communicate effectively and professionally.
Strong attention to detail, ensuring accuracy in all tasks and communications.
Demonstrated ability to approach challenges with ingenuity, finding innovative solutions to problems.
Proficiency in using productivity tools and software, including calendar management, document collaboration, and project management platforms.
Outstanding organizational skills and the ability to multitask effectively in a fast-paced environment.
High level of discretion and ability to handle confidential information with utmost professionalism.
Strong interpersonal skills to collaborate with team members, external partners, and stakeholders.
A proactive and self-motivated mindset, with the ability to take initiative and work independently.
