Job Description

We are seeking a Virtual Assistant to efficiently manage in-person employee needs and various company requirements through streamlined processes and automation solutions. This role primarily focuses on HR-related tasks including payroll, incident reporting, policy enforcement, document creation, and maintaining standard operating procedures (SOPs). Additionally, the
Virtual Assistant will handle scheduling, coordination, and communication to ensure smooth operations within the company.
Responsibilities:
1. HR Administration:
– Manage clock-in and out times using automated systems.
– Process payroll efficiently and accurately.
– Handle incident reports and ensure timely resolution.
– Uphold company policies and procedures.
– Create and update documents, SOPs, and company training materials.
(Templates and guidelines for creating HR documents/reports, version control and documentation storage best practices, How to create, update, and archive SOPs effectively, Develop training modules/courses/orientation programs and materials for new hires, updating training materials to reflect current processes.)
2. Scheduling & Coordination:
– Schedule appointments, meetings, and interviews.
– Coordinate travel arrangements as needed.
– Arrange logistics for company events or training sessions.
3. Communication:
– Serve as a point of contact for employee inquiries.
– Facilitate internal communication channels.
– Ensure timely dissemination of information.
4. Automation and Efficiency:
– Identify opportunities for automation to streamline repetitive tasks.
– Implement and maintain automated systems for HR processes.
– Continuously optimize workflows to improve efficiency and reduce manual workload
Requirements:
– Excellent English
– Proven experience as a Virtual Assistant or relevant administrative role.
– Strong organizational and time-management skills.
– Proficiency in using HR software and other relevant tools for automation.
– Excellent verbal and written communication skills.
– Ability to prioritize tasks and work independently in a remote setting.
– Familiarity with basic HR functions such as payroll, compliance, and employee relations.
– Experience with creating and maintaining documentation and SOPs.
Preferred but not required Qualifications:
– Certification in HR or related field.
– Previous experience in a remote work environment.
– Familiarity with project management tools (e.g., Asana, Trello)
