Job Description:
As a Virtual Assistant for our law firm, you will be responsible for providing administrative support and ensuring the smooth operation of daily tasks. Your primary duties will include calendar and email management, inputting client data into our CRM system, handling mailing correspondence, managing project priorities, and potentially drafting and reviewing documents. The ideal candidate will be detail-oriented, reliable, and highly organized, with strong communication skills and the ability to work efficiently in a remote setting.
Responsibilities:
1. Email Management:
Monitor and manage emails, prioritize messages, and respond to inquiries as appropriate.
2. Calendar Management:
Schedule meetings and appointments, ensuring accuracy and timely reminders.
3. Project Management:
Create and maintain to-do lists, prioritizing tasks based on urgency and importance.
Keep track of deadlines and tasks to ensure timely completion.
4. CRM Data Management:
Input and maintain client information and case details in the firm’s CRM system.
Update and organize client files, ensuring accuracy and completeness of data.
5. Mailing and Correspondence:
Prepare and mail letters, packages, and legal documents as required.
Track outgoing mail and maintain postage records.
6. Document Drafting and Review:
Assist in drafting and reviewing legal documents, including contracts, agreements, pleadings, and correspondence.
Ensure documents adhere to firm standards and formatting guidelines.
Requirements:
Experienced as a virtual assistant or administrative assistant. In a legal setting preferred but not required.
Proficiency in email and phone management, calendar scheduling, and maintaining/organizing projects.
Strong attention to detail and accuracy.
Ability to prioritize tasks and manage time effectively.
Proficiency with CRM systems and Microsoft Office Suite (Word, Excel, Outlook).
Reliable internet connection and access to necessary technology for remote work.
