**Company Overview:**
The 4% Club is a leading Australian online weight-loss coaching business, offering transformative 26-week coaching programs with a focus on 1:1 nutrition and lifestyle coaching for individuals aged over 40.

**Position Overview:**
We are seeking a high level, dynamic and detail-oriented Virtual Assistant to join our team and take on the crucial responsibility of overseeing systems and processes within various departments of the company. The successful candidate will largely be assisting our Head of Member Success, supporting her to achieve company goals and outcomes.

The right person for the role should possess the following skills as a minimum:
– High level of attention to detail
– Proactive and high level thinker. You should be eager to find problems to solve and be driven by positive outcomes
– Eager to learn and willingness to go above and beyond to reach company and team wide goals
– Possess exceptional communication skills, both spoken and written.

**Responsibilities:**

1. **Operations Assistance:**
– Collaborate with the department manager to monitor and assess processes.
– Assist in conducting regular audits to identify areas for improvement and implement necessary changes.
– Not only have the ability to find problems, but also come up with suitable and viable solutions to fix them.
– Data entry, collection and analysis to produce meaningful trends and information to assist with the company’s objectives.

2. **SOP Development:**
– Contribute to the creation and maintenance of comprehensive SOPs for various department processes.
– Update SOPs regularly to reflect changes in procedures or best practices.

3. **Quality Assurance:**
– Assist in developing and executing strategies to address any gaps in processes
– Assist in ensuring our data is collected effectively and accurately
– Assist in providing support to our Member Success and Coaching teams in ensuring our customers receive seamless, error-free and high-quality service at all times.

4. **Payment Collection and Tracking:**
– Assist in following up payments and ensuring funds are collected in a timely manner.

5. **Communication:**
– Establish and maintain clear communication channels with team members to address concerns and provide guidance.
– Collaborate with other team members to streamline cross-functional processes.
– Assist team manager in achieving outcomes and providing regular reports and feedback
– Receive performance reviews and take on individual feedback openly and honestly.

**Qualifications:**
1. Strong organizational skills and attention to detail.
2. Familiarity with creating and maintaining SOPs
3. Effective communication and interpersonal skills.
4. Ability to provide clear and effective feedback.
5. Comfortable working in a remote team environment.
6. Strong written and spoken English
