About our organization:

Urban REI Property Management is a dynamic Real Estate Investment Organization. Our focus is on Property Management, flipping residential properties, and growing a rental property portfolio that includes single-family and multifamily dwellings.

Our in-house construction division ensures our properties are well-maintained and managed, extending our services to other property owners. As we continue to expand, we’re seeking an engaging, motivated, and detailed-oriented Virtual Assistant (VA) Manager to join our team.

Role Summary

The VA Manager will play a pivotal role in managing, inspiring, and motivating our Virtual Assistant team. This role requires a self-confident, extroverted individual who thrives in a fast-paced, results-oriented environment and who can engage positively with individuals and groups. You’ll report directly to upper management and will be essential in influencing and persuading others, encouraging buy-in, and achieving results.

Key Responsibilities

* Supervise, train, and manage our team of Virtual Assistants, promoting a positive work environment and culture.
* Coordinate and communicate with property management and construction and service personnel, ensuring that properties are managed correctly and that objectives are met on time.

* Communicate with tenants as well as property owners, and construction crews.
* Regularly establish relationships with new groups and use your strong initiative and self-direction to drive team performance.
* Manage multiple projects simultaneously, displaying excellent multitasking abilities, a sense of urgency, and problem-solving skills.
* Order, track, and source materials using online portals such as Home Depot, Menards, and Lowes, always looking for the best price and speedy deliveries.

* Increasing vendor relationships and cultivating relationships with new vendors.
* Use various software including Microsoft Teams, Ring Central, QuickBooks, Buildium, and WhatsApp for communication, management tasks, and tracking project progression.
* Develop, monitor, and update scopes of work daily using a specialized Excel sheet designed for each property.
* Handle financial responsibilities, ensuring all project expenses are accounted for, properly categorized, and billed back to the respective property owners on time.
* Ensure all maintenance items are followed up on and followed through before they are considered completed.
* Facilitate smooth tenant-owner interactions, including resolving tenant issues, scheduling maintenance, and ensuring rental payments are received and accounted for.

* Project photos, we require pictures from daily project process taken before, during and after repairs. You will need to ensure that the photos are being taken and uploaded to the proper channels.

* Communicating with our accounting team to ensure that all the details on projects have been met for proper billing.

* Being able to follow work orders through the process to ensure timely completion of projects.

* Ensuring that rental payments are received on time and followed up with tenants.

* Ensuring that any unit vacancies are leased up immediately.

Job Type

The onboarding process will involve calls, video chats, screen shares, zoom calls, loom videos, etc. to help you visualize what we would like to do and how to accomplish the tasks and have fun in the process.

Working Hours
Hours of operations – 8:00 A.M. to 5:00 P.M. CST (1 Hour Lunch)
Weekly schedule – Monday through Friday
