Position Summary:
As a Virtual Assistant, you will play a vital role in managing administrative tasks, coordinating patient appointments, and ensuring effective communication between patients and the chiropractic team. Your primary responsibilities will include handling phone calls, scheduling appointments, managing patient records, and providing exceptional customer service.

Key Responsibilities:

Appointment Scheduling:

Manage and coordinate patient appointments using the clinic’s scheduling software.
Confirm and remind patients of their appointments via phone, email, or text.
Reschedule or cancel appointments as needed.
Patient Communication:

Handle inbound and outbound phone calls, addressing patient inquiries and concerns.
Respond to emails and messages promptly and professionally.
Provide information about the clinic’s services, treatments, and policies.
Administrative Support:

Maintain and update patient records accurately.
Assist with billing and insurance verification.
Prepare and send out invoices, receipts, and other necessary documents.
Customer Service:

Greet and assist patients in a friendly and professional manner.
Address patient concerns and resolve issues promptly.
Ensure a positive patient experience by providing exceptional customer service.
Data Management:

Organize and maintain electronic files and documents.
Perform data entry tasks accurately and efficiently.
Generate reports and maintain records as required.
General Office Support:

Assist with other administrative tasks and special projects as needed.
Collaborate with the chiropractic team to ensure smooth office operations.
Qualifications:

Education and Experience:

High school diploma or equivalent required; associate or bachelor’s degree preferred.
Previous experience as a virtual assistant or in a similar administrative role is highly desirable.
Experience in a healthcare or chiropractic setting is a plus.
Skills and Competencies:

Excellent communication skills, both verbal and written.
Strong organizational and time management abilities.
Proficient in using office software, including Microsoft Office Suite and scheduling software.
Ability to handle sensitive and confidential information with discretion.
Exceptional customer service skills and a patient-oriented approach.
Ability to multitask and prioritize tasks effectively.
Detail-oriented with strong problem-solving skills.
