We are seeking a reliable Virtual Assistant who has experience of both the travel and recruitment industry to join our team. In this role, you will be responsible for administering the recruitment process and managing the data of both candidates and clients. You will play a crucial role in maintaining the accuracy and completeness of our database, supporting our recruitment efforts, and contributing to the success of our company.
This is a remote position that requires proactive thinking, strong initiative, and the ability to build effective systems and processes.
Responsibilities:
• Creation of job adverts
• Posting ads on job boards
• Create and post job advert Canva’s to social media.
• Formatting CVs
• Uploading resumes to clients’ VMS (Vendor Management System)
• Booking interviews, handling cancellations and rescheduling
• Send out Interview confirmations to clients and candidates.
• Create and maintain Google Drive
• Prepare standard documents for electronic signing, e.g., Fee Agreements, Terms of Business
• Load CV registrations to ATS
• Load unsuitable CV applications to ATS
• Maintain ATS and create segmentation.
• Take ownership of managing and maintaining the ATS.
• Ensure data accuracy, completeness, and consistency.
• Regularly update and validate candidate and client information.
• Conduct market research and mapping to identify potential candidates and clients in our niche.
• Segment and categorize data within the ATS to improve targeting and efficiency in our recruitment processes.
• Assist in building and implementing effective data management systems and processes.
• Collaborate with the recruitment team to understand the ideal candidate profiles and ensure the database aligns with these profiles.
• Monitor data quality and implement measures to improve data integrity.
• Generate reports and provide insights based on the data analysis.
Requirements:
• Proven experience as a Virtual Assistant within recruitment is essential as is experience working within the travel industry.
• Previous remote work experience.
• Fast home internet speed.
• Knowledge of CRM/ATS systems
• Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
• Excellent written and verbal communication skills in English.
• Strong analytical skills with the ability to interpret and organize large sets of data.
• Excellent attention to detail and accuracy in data entry and management.
• Ability to take ownership, work independently, and use initiative to identify areas for improvement.
• Strong organizational and time management skills to meet deadlines and prioritize tasks effectively.
• Tech-savvy and comfortable working with various software applications and online tools.
• Strong organizational and time management abilities.

• Attention to detail and a high level of accuracy.
• Self-motivated and able to work independently with minimal supervision.
• Reliable internet connection and a suitable home office setup.

• Availability to work UK hours GMT 08.30 – 17.00
