Job Description

We are currently seeking a skilled and detail-oriented individual to join our team as a Virtual Assistant. This remote position allows you to work from the comfort of your own home while contributing to the success of our business in the online retail space. Working hours will be from Monday to Friday, 9 AM to 5 PM / New York EST GMT-5

Job Description: As a Virtual Assistant, you will play a key role in assisting our team with customer service inquires as well as perform other data entry and other administrative duties.

Responsibilities:

• Organize correspondence and answer emails, phone calls, and online messages
• Manage administrative tasks efficiently to ensure the smooth operation of the office.
• Present excellent customer-service skills to customers as the first point of contact, emails, chat and phone calls.
• Organize and maintain digital files to ensure easy access and retrieval.
• Create, update and maintain data on company’s CRM and or database accurately.
• Build and maintain strong customer relationships through proactive follow-up and communication.
• Ensure accuracy and attention to detail in all tasks.
• Follow through on assignments and projects to completion.
• Respond to inquiries from customers and team members in a professional and timely manner.
• Collaborate with team members to ensure smooth task completion.
• Conduct basic research on specified topics as assigned.
• Provide support to team members and managers as needed.
• Help schedule meetings and events, ensuring everyone is informed of the details.
• Handle confidential employer and client information
• Create purchase orders/ quotes/invoices and track and manage payments

Qualifications:

• Bachelor’s degree preferred
• Preferably experienced with online/remote/virtual work, however not essential
• Excellent organizational and multitasking abilities.
• Excellent command of the English language, both spoken and written
• Proficient in virtual office tools and technologies.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Comfortable speaking with customer over the phone.
• Ability to work independently as part of a virtual team and with minimum supervision
• Willingness to work full-time (40 hours/week) in Eastern Standard Time
• Working knowledge of Google Suite (Gmail, Calendar, Drive, Docs, Sheets, Forms, Slides) and productivity and project
management tools like Odoo, Asana, Monday, Trello, Basecamp or similar.
• A charismatic ‘can do’ attitude
• Critical thinking ability and problem solver

– RAM minimum: 8GB (however 16GB is recommended)
– For Laptop: 8th generation (8000 series) Core i5 or better; AMD Ryzen series processors
– For Desktop: Ryzen 5 3000 series and above. If Core i3 – 10th generation or higher.
– For Mac: Core i5 – 2017 or higher Core i7 – 2016 or higher (not recommended : Core i3)
– A suitable work-from-home space in the Philippines
– Internet connection: 30 Mbps minimum
