Role Overview:
We are seeking a proactive and organized Virtual Assistant to support our daily operations, primarily focusing on email and calendar management, task coordination, CRM management, and content oversight. The ideal candidate will be adaptable, with the ability to anticipate needs and manage multiple work streams.
Key Responsibilities:

Email and Calendar Management:
Monitor and manage email communications, flagging important emails for prompt responses.
Oversee calendar schedules and provide timely reminders for meetings.
Coordinate and set up meetings as required.
Task Coordination:
Transition tasks between various platforms, ensuring seamless tracking.
Regularly liaise with team members for task updates and ensure timely status changes on platforms like Notion.
Facilitate task sign-offs and ensure tasks are updated accurately.
Sales CRM Management:
Record client communications and ensure CRM is up-to-date.
Progress clients through the sales pipeline efficiently.
Client Portal Oversight:
Monitor client portals for messages and respond promptly after team consultation.
Assign tasks to appropriate team members and ensure timely updates.
Content Management:
Oversee the content calendar, ensuring regular articles are commissioned, written, and posted on the Ruffin Galactic blog.
Coordinate with the platform for campaign creation.
Continuous Learning and Research:
Stay updated with industry trends by reading our Medium blog and competitor blogs.
Gather and share intriguing data visualizations.
Familiarize yourself with tools like Zapier, Notion, Instantly, and .
Regularly review and update our competitors list.
Miscellaneous Tasks:
Manage document storage and ensure deliverables are updated on the Final Assets page.
Collaborate with team members to ensure targets align with our ideal customer profile.
Qualifications:
Proven experience as a Virtual Assistant or similar role.
Familiarity with tools like Notion, , , and Zapier is a plus.
Excellent communication and organizational skills.
Ability to multitask and prioritize tasks efficiently.
Self-starter with a keen eye for detail.
