Job Description

We are seeking a highly organized and detail-oriented Virtual Assistant to support our real estate team in preparing closing documents and settlement statements for real estate transactions. This remote position requires a deep understanding of the real estate closing process, proficiency in real estate software, and excellent communication skills to ensure a smooth and efficient closing experience for our clients.

Key Responsibilities:
Closing Document Preparation: Draft and prepare essential closing documents, including but not limited to HUD-1 settlement statements, deeds, mortgages, loan documents, and transfer tax declarations.
Settlement Statement Accuracy: Ensure accuracy and compliance of all settlement statements, verifying that all financial transactions are correctly listed and that the document adheres to local, state, and federal regulations.
Document Review and Management: Carefully review all documents for completeness and accuracy, ensuring that they meet all legal requirements and that any errors are promptly corrected.
Coordination and Communication: Serve as a liaison between real estate agents, lenders, clients, and title companies, coordinating the exchange of information and documents necessary for closing.
Compliance and Due Diligence: Conduct due diligence to ensure that all aspects of the closing process are in compliance with legal standards and regulations. This includes title searches, resolving title issues, and ensuring the proper execution of all closing documents.
Digital File Management: Maintain and organize digital files related to each transaction, ensuring easy access to documents for all parties involved and for future reference.
Customer Service: Provide exceptional customer service to clients by answering questions, offering explanations of documents when necessary, and ensuring a positive closing experience.
Reporting: Prepare and submit reports on the status of real estate transactions, highlighting any potential issues or delays in the closing process.
Skills and Qualifications:
Proven experience as a Virtual Assistant, Paralegal, or a similar role in real estate, specifically with experience in preparing closing documents and settlement statements.
Strong understanding of the real estate closing process and familiarity with real estate laws and regulations.
Proficiency in real estate software (e.g., ClosingCorp, SoftPro, LandTech) and Microsoft Office Suite.
Excellent organizational skills and attention to detail.
Ability to manage multiple tasks and projects with tight deadlines.
Strong communication and interpersonal skills, with the ability to work effectively with team members and clients remotely.
Self-motivated with the ability to work independently.
High school diploma required; associate or bachelor’s degree in a relevant field or paralegal certificate preferred.
Work Environment:
This is a remote position with flexible hours, allowing the Virtual Assistant to work from home.
