Receptionist Company is a virtual receptionist company, we offer call answering and live chat services to small and medium size businesses. We are seeking a motivated and organized Virtual Assistant/Receptionist to join our team. The ideal candidate will be an excellent communicator with strong organizational skills, eager to learn, and capable of managing multiple tasks efficiently. Experience is a plus, but we are willing to train the right candidate.
Responsibilities:
1. Answering Calls and Managing Communication:
Answer incoming calls and respond to client inquiries in a professional and friendly manner.
Manage email correspondence, responding to inquiries and forwarding messages to the appropriate team members.
Schedule and confirm appointments, ensuring all necessary details are communicated to relevant parties.
2. Customer Service:
Provide exceptional customer service, addressing client needs and resolving issues promptly.
Maintain a positive and professional demeanor in all interactions.
3. Administrative Support:
Assist with data entry, maintaining and updating client records and databases.
Organize and manage digital files, ensuring documents are easily accessible and well-organized.
4. Scheduling and Calendar Management:
Coordinate and manage the schedules of team members, ensuring all appointments and meetings are accurately logged.
Send reminders and confirmations to clients and team members about upcoming appointments.
5. Social Media and Online Presence:
Assist in managing social media accounts, posting updates, and engaging with followers.
Monitor and respond to online reviews and feedback.
6. General Office Tasks:
Perform other administrative tasks as assigned by the management team.
Willingness to learn and adapt to new tasks and responsibilities.
Ability to handle a fast-paced work environment and manage stress effectively.
Education and Experience:
Previous experience in a receptionist or administrative role is preferred but not required.
English language is a MUST.
