We are seeking a highly organized and proactive Virtual Assistant to provide comprehensive administrative support and assist with various tasks to enhance our business operations. The ideal candidate will be proficient in daily administrative duties, social media content repurposing, engagement, and basic graphic design tasks. This role will also involve collaborating with our Online Business Manager (OBM) to optimize her productivity by handling routine tasks, allowing her to focus on higher-end tasks such as project management and strategic planning.
Responsibilities:
Daily Administrative Tasks:
Manage email correspondence, calendar scheduling, and appointment coordination.
Organize and maintain digital files, documents, and databases.
Conduct research and compile data as needed.
Prepare reports, presentations, and spreadsheets.
Social Media Content Repurposing:
Repurpose existing content (blog posts, videos, etc.) for various social media platforms.
Create engaging social media posts, captions, and graphics.
Schedule and publish social media content using appropriate tools.
Monitor social media accounts and respond to comments and messages.
Engagement:
Interact with our audience and followers on social media platforms.
Respond to comments, messages, and inquiries in a timely manner.
Foster positive relationships with customers, partners, and influencers.
Monitor industry trends and engage in relevant conversations.
Graphic Design Support:
Assist in designing slides, workbooks, and other visual materials.
Create graphics and visual content for social media posts.
Ensure brand consistency in all visual materials.
Support Online Business Manager:
Take ownership of routine tasks and administrative responsibilities to free up the OBM’s time.
Assist with project management tasks such as coordinating team members, tracking progress, and updating project documentation.
Help develop and implement systems and processes to enhance efficiency.
Conduct research and analysis for strategic initiatives.
Requirements:
Proven experience as a Virtual Assistant or in a similar administrative role.
Strong organizational and time management skills.
Proficiency in using productivity tools such as email clients, calendars, project management platforms, and social media management tools.
Basic graphic design skills and familiarity with design software (e.g., Canva, Adobe Creative Suite).
Excellent written and verbal communication skills.
Ability to work independently and efficiently, managing multiple tasks simultaneously.
High attention to detail and commitment to delivering quality work.
Understanding of social media platforms and their best practices.
Familiarity with online business operations and project management concepts is a plus.
