Job Description

We are seeking a highly organized and proactive Virtual Assistant to support a busy physician in managing day-to-day administrative tasks. This role requires excellent communication skills, proficiency in managing digital tools, and a strong ability to prioritize and handle confidential information with discretion.

Key Responsibilities:

Email Management: Sort, manage, and respond to emails to ensure smooth communication and timely responses.
Calendar Management: Schedule appointments, manage the physician’s calendar, and provide timely reminders to ensure efficient time management. Additionally, align the physician’s spouse’s calendar to coordinate personal and professional commitments effectively.
Social Media and Advertising Management: Assist in creating and scheduling regular posts on various social media platforms to enhance engagement and maintain a professional online presence. Manage Google Ads and Facebook Ads campaigns to promote the clinic’s services effectively.
Website Management: Maintain and update content on a WordPress-based website, ensuring that the information is current and accurately reflects the physician’s professional activities.
Family Coordination: Assist in managing the schedules related to the couple’s children, including coordinating logistics for activities, appointments, and ensuring responsibilities are equally shared.
Additional Duties: Handle additional administrative tasks as needed, including preparing reports, managing contact lists, and assisting with personal tasks to support the physician’s professional activities.

Requirements:

Minimum of 3 years of experience as a Virtual Assistant or in a similar administrative support role.
Preferably with a background in the medical field to better understand medical terminology and the context of communications.
Proficient in Microsoft Outlook, calendar management, and social media platforms, with the ability to manage WordPress websites.
Experience in managing Google Ads and Facebook Ads is highly desirable.
Excellent organizational and time-management skills.
High level of proficiency in English, both written and verbal.
Ability to handle sensitive information with the highest degree of integrity and confidentiality.
Must be available to work a minimum of 4 hours overlapping with the US Central Standard Time (CST) zone between 7 AM and 5 PM.
