Job Description

**Job Overview:**
We are seeking a dynamic Virtual Assistant to play a key role in supporting our car dealership’s Backoffice. As a Virtual Assistant, you will remotely assist the owner with Backoffice operations including but not limited to; answering the main phone line and managing customer interactions, administrative tasks, processing owners email and calendar inbox, calling lenders for payoffs, inputting data from scanned files in to our system and filing them in our share drive. We would also like the candidate to have a bookkeeping experience with QuickBooks as we need to input sales and purchase invoices and run reports in to both systems.

**Responsibilities:**

1. **Administrative Tasks:**
– Assist in preparing and processing sales documentation and contracts.
– Coordinate with finance and insurance departments to facilitate the purchase process.
– Maintain accurate records of customer interactions and transactions.

2. Bookkeeping
– Must be able to use QuickBooks
-Manage our books and ensure accuracy between our point of sale and quick books

2.**Customer Support:**
– Respond to customer inquiries through various channels, including phone, email, and text.
– Provide information and evaluation on car models, pricing, financing options, and promotions.

3. **Lead Management:**
– Track and manage customer leads using our CRM system.
– Follow up with potential customers to gather information and address queries.
– Collaborate with the sales team to prioritize and distribute leads effectively.

4. **Online Listings:**
– Update and maintain accurate information on the dealership’s online listings.
– Ensure consistency in pricing, vehicle details, and promotions across various online platforms.

5. **Product Knowledge:**
– Stay informed about the latest car models, features, and industry trends.
– Provide product knowledge support to customers and the sales team.

6. **Appointment Scheduling:**
– Schedule appointments for customers interested in visiting the dealership or meeting with a sales representative.
– Coordinate with the sales team to ensure availability and smooth scheduling.

TBD. For Later: **Social Media Marketing:**
– Develop and execute social media marketing strategies to enhance the dealership’s online presence.
– Create engaging content, including posts, images, and videos, to showcase our inventory and promotions.
– Monitor and respond to comments and messages on social media platforms.
– Analyze social media metrics to measure the effectiveness of campaigns and make recommendations for improvement.

**Qualifications:**

– Previous experience as a Virtual assistant.
– Strong communication, interpersonal, and social media management skills.
– Knowledge of automotive industry terminology and processes.
– Proficiency in using CRM, DMS, and book keeping.
– Ability to multitask and prioritize in a fast-paced environment.
– Bilingual is a plus “Spanish”

**Education and Experience:**

– College grad. Additional education or training in business administration, bookkeeping, or a related field is a plus.
– Previous experience in a car dealership or automotive sales support role with social media responsibilities is desirable.

**Work Environment:**
This is a remote position, and the candidate should have a reliable internet connection. Regular communication with the on-site owner will be essential.
