POSITION SUMMARY

The Virtual Assistant will provide high-level administrative support to the Chief Executive Officer (CEO) and facilitates the efficient operation of the assigned objectives by performing a variety of clerical and administrative tasks.

PERFORMANCE OBJECTIVES

– Provides high-level administrative support and assistance to the CEO
– Coordinates and schedules travel, accommodations, meetings, and appointments for the CEO
– Receives incoming communication or memos on behalf of CEO, reviews contents, determines importance, and summarizes and/or distributes contents appropriately
– Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents
– Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping
– Retrieves information as requested from records, emails, minutes, and other related documents; prepares written summaries of data when needed.
– Prepares agendas, and schedules; may attend meetings on behalf of the CEO to take notes, recordings, distribute minutes or other items
– Responds to and resolves administrative inquiries and questions
– Maintains a system for recording expenses
– Answers and transfers phone calls, screening when necessary
– Maintains filing systems as assigned
– Performs other related duties as assigned

– Excellent interpersonal and customer service skills
– Excellent time management skills with a proven ability to meet deadlines
– Extensive knowledge of office administration, clerical procedures, record-keeping, and filing systems
– Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software
– Ability to function well in a high-paced and at times stressful environment
– Ability to work independently
– Able to type a minimum of 50 words per minute
