Job Summary:
As a Real Estate Team Virtual Real Estate Assistant, you play a pivotal role in our team’s success. Your in-depth knowledge of real estate operations, combined with your exceptional organizational skills, will help streamline our processes, ensuring smooth transactions and satisfied clients. We are looking for a motivated individual that wants to grow with us. You can expect job security if you show up every day and perform. Our last VA was with us for over 2 years and could not perform their role anymore which is why we are looking for another partner.
Key Responsibilities:
Client Relations:
Client Follow-up, Birthdays, Anniversaries, building past client relationships
Manage and respond to client inquiries via email, phone, and text in a timely manner.
Schedule, coordinate, and confirm property viewings for prospective buyers.
Keep a detailed record of client interactions and feedback on viewed properties.
CRM management of all leads
Listing Management:
Coordinate property photo shoots, including staging.
Upload new listings onto MLS and other online platforms.
Draft captivating property descriptions highlighting key selling points.
Transaction Coordination:
Taking inventory of all client’s information
Keeping track of all agents deals
Calendar and Email Management:
Organize and manage the team’s calendar, ensuring timely notifications and reminders.
Filter and categorize email communications, flagging high-priority messages.
Market Research:
Regularly analyze local market trends and compile competitor listings.
Prepare detailed weekly reports on property sales, new listings, and price movements.
Marketing and Social Media:
**Must know how to use Canva**
Assist in the creation and distribution of marketing materials.
Schedule and manage posts across various social media platforms, ensuring consistent branding.
Track the effectiveness of online campaigns and recommend improvements.
Administrative Support:
Maintain an organized digital filing system for easy document retrieval.
Assist with bookkeeping tasks, such as expense tracking and invoicing.
Order and manage office supplies.
Help Team members with their activities needed
Track and measure all KPIs within the team. Calls, Appointments, Etc…
Team member onboarding
Qualifications and Skills:
At least 5 years of experience as a virtual assistant, preferably within the real estate sector.
Proficient in real estate software and tools, including CRM, MLS, and transaction management platforms.
Exceptional written and verbal communication skills.
Strong organizational and multitasking abilities.
Ability to work under pressure and adhere to tight deadlines.
Proficient with Microsoft Office Suite, Google Workspace, and social media platforms.
Self-motivated with a proactive attitude.
