We are seeking a highly organised and proactive Virtual Assistant (VA) to manage our Airbnb business. The ideal candidate will be responsible for overseeing daily operations, ensuring exceptional guest experiences, and maintaining high standards for our properties. This is a remote position requiring excellent communication, time management, and problem-solving skills.
Key Responsibilities:
1. Guest Communication & management:
– Respond promptly to guest inquiries and booking requests within 5 minutes to maintain 0 response rate.
– Provide detailed information about the property, local area, and check-in/check-out procedures when requested.
– Handle any guest issues or concerns during their stay, ensuring quick resolution.
– Provide the guest with Key Collection Code 1 day before arrival.
– Ensure all automated check-in emails have been sent to guests.
– Ensure that the guest has filled it the Booking Confirmation Link.
2. Booking Management:
– Optimize occupancy rates.
– Confirm reservations.
– Coordinate with cleaning and maintenance teams to prepare properties for new guests. Informing them of the number of guests, and arrival time.
3. Property Listings:
– Create and maintain compelling property listings on Airbnb and other platforms.
– Update listings with accurate descriptions, pricing, and availability.
– Monitor and manage reviews, responding to feedback to maintain a high rating.
– Help with Launching new Properties on Airbnb & & linking them to Zeevou (Channel Manager)
4. Financial Management:
– Track income and expenses related to property rentals and add them to Zeevou or excel/word file.
– Request Late checkout fees where applicable.
5. Coordination and Logistics:
– Schedule and supervise property cleanings and maintenance.
– Ensure all amenities and supplies are stocked and in good condition.
– Ensure the Wellcome Pack is restocked.
– Coordinate with our handymen as needed.
Requirements:
– Proven experience as a Virtual Assistant or similar role in the hospitality or property management industry.
– Excellent written and verbal communication skills.
– Strong organisational and time management abilities.
– Proficiency with online booking platforms (e.g., Airbnb, , VRBO) and property management software (Zeevou).
– Familiarity with financial reporting and basic bookkeeping.
– Ability to handle guest issues with professionalism, kindness and empathy.
– High attention to detail and commitment to maintaining property standards.
Preferred Qualifications:
– Previous experience in the short-term rental industry.
