Job Description

Inbound Found () is looking for a 100% remote virtual executive assistant for a website design and website marketing agency’s co-owner/operator, Jim Thornton.
The ideal candidate will have excellent communication skills in English speaking and writing as well as experience in an administrative, personal assistant, or operations role.

> monthly accrual of 0.75 days of PTO per month worked (9 days per year)

J O B . R E S P O N S I B I L I T I E S
Provide Executive Admin Support
> Organize priorities, help structure daily and weekly schedule, and manage Jim’s calendar, keeping him on track while making scheduling changes as urgent items come up
> Be proactive and take items off Jim’s plate when you can (for example, convert client’s emailed requests into digestible tasks and delegate them out appropriate team leader
> Triage work items that come up to make sure priorities stay organized by importance and Jim’s schedule reflects that (think balancing account management items, sales tasks, client work, strategy and internal projects)
> Meet with the key team leads to check on status of all client work (on time, in budget), identify issues or potential issues, and consolidate project and team updates and statuses for my review
learn to anticipate Jim’s needs once you have a sense of our goals, both short-term and long-term
Provide General / Misc. Virtual Assistance
> Back office tasks such as invoicing, scheduling, setting up payroll payments
> Manage recruitment efforts, post job listings, narrow candidate lists, schedule and track interviews, and onboard newly-hired team member
> Conduct web research or assist with spreadsheet related tasks for client work when needed, such as tagging articles with appropriate labels based on provided rules or conducting keyword research (we’ll train you in anything specific like this)
> Assisting other team members with their tasks when needed and supporting various departments with administrative tasks as necessary
J O B . R E Q U I R E M E N T S
– Excellent written, speaking and listening comprehension in English
– Polite, friendly, and professional communication skills to interface with team members and occasionally, clients
– Ability to handle tasks, prioritize effectively, and deliver quality work under minimum supervision
– A can-do attitude with an “I got this” spirit with good ability to take constructive feedback
– A strong and reliable Internet connection and computer (please provide screenshots) as well as a backup internet connection if primary connection goes down
– Experience with modern technology tools: spreadsheets (e.g. Google Sheets), online calendars and scheduling (e.g. Google Calendar, Calendly), communication tools (Zoom, Google Workspace/Gmail)
A . P L U S . B U T . N O T . R E Q U I R E D:
– familiarity with agency work, services such as web design, SEO, content strategy, digital marketing
– previous executive assistant experience
– knowledge of any of the following tools: ClickUp, Miro, Chat GPT, Hubspot, Figma, Google Slides, SEMRush
