We’re looking for a virtual assistant to help out at our marketing agency. We help Financial Advisors get more clients through digital marketing. Someone who has EXCELLENT communication skills, is self-starter, extremely organized, and has a passion for technical work & marketing.
This is a remote job, working during Eastern Standard Times 9-5pm

This is a part time or full time position depending on the candidate. Starting pay is negotiable with opportunities for quick growth. We are looking for a vibrant, smart and energetic person to keep our clients, team and Director of Operations smiling!
Since we’re a marketing agency, we ask for someone with at least super basic knowledge of some creative software and web related technology such as:
-GoHigh Level, ClickFunnels
– WordPress
– Canva, Figma, Photoshop
– Social media marketing tools
– We really just want you to have heard of them, know what they do, and opened a file or 2. We’ll give you advanced training where needed
WHAT YOU’LL BE DOING
– Assisting our Director of Operations to coordinate daily operations and keep everything on track
– Coordinating with clients & our team regarding projects
– Email correspondence: Updating clients on project status, processing requests
– Basic project management: Keeping track of deadlines, coordinating with our team, making sure we’re delivering what we promise
– Represents the executive by attending meetings in the executive’s absence; speaking for the executive. Accurately recording minutes from meetings.
– Ensures executive productivity by organizing daily tasks and delegating tasks to relevant team members and following up on results.
– Prepares reports by collecting and analyzing information. This could be for prospective and ongoing clients or for the company itself.
– Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
– Sales and marketing support if needed. Working as a liaison between our marketing team and coordinating internal marketing initiatives. Duties can include drafting new client proposals and presentations, assisting the CEO with project reviews, social media marketing, and content writing/editing.
– Using various tools to help coordinate projects between account managers, creatives (designer, developers, writers, etc) and clients.
– Help keep projects moving and finished on time
– Respond to requests from clients or team
– Customer Service: Handle simple requests from our clients and coordinate with team
– General assistant duties
QUALIFICATIONS AND EXPERIENCE
– 2-3 years of experience in a similar role
– Extremely strong verbal and written communication abilities
– Excellent organizational skills
– Knows basic marketing softwares and can trouble shoot things
– Ability to convey ideas clearly, being concise and effective in your communication.
– Fundamental knowledge of marketing is preferred but not required
– Proven skills at building and maintaining business relationships, multi-tasking and being graceful under pressure
– Demonstrate the ability to anticipate needs and proactively take action.
– A ‘can-do’ attitude, nothing is too large or too small
– Solid project and vendor management skills with the ability to source vendors, gather bids, evaluate options and manage to high service levels
– Experience with team calendars, travel arrangements and professional meetings/events.
– Great design and aesthetic sense
– Self starter and takes the initiative
– Result driven
– Ability to work independently
– Good technical skills and ability to learn quickly
