Job Description

We are looking for a Virtual Assistant with pre-sales experience, the position requires a motivated self-starter with excellent communication and analytical abilities.

The Virtual Assistant role works with Sales Operations, and Marketing team to assist in administrative tasks, coordination tasks, pre-sales management, documentation, and support project-based work as needed and as directed by leadership.

Responsibilities

Technical Assistance in Pre-Sales and Admin Support — This is a remote role providing project and technical support to the operations team in Singapore. Your day-to-day tasks may include:

• Project Coordination: Working closely with the various internal and external teams to ensure collaboration between organisations in finding an optimal solution that supports both the business requirements and policies of the customer and the Qbasis.
• Technical Support for Pre-Sales: Managing technical aspects during the distribution or projects of our client. Helps Sales and Operations in the preparation of supporting materials (including but not limited to technical diagrams, drawings, and workflows).
• Technical Support for Ops: Assisting with providing products, services, maintenance, and upgrades for customers. Assisting with project coordination, QA testing, system setup and configuration, and project delivery;
• Sales Proposals: Supporting pre-sales activities including proposal and quotation making, and project handover of the ordered project to the concerned team
• Documentation Creating, maintaining, organising, and contributing to technical support guides, SOPs and supporting troubleshooting documentation as needed;
• Additional Support: Providing product and solution training for customers and users; steps into technical support roles, when needed

Requirements

– Have strong planning, organising, and time management skills
– Be able to work independently as well as be a team player
– Ability to handle issues objectively and analytically
– Extremely detail-oriented with excellent written/verbal communication skills
– Ability to plan and follow a daily agenda, and to follow up on tasks that are recurring or require confirmation of completion
– Ability to write emails and conduct daily activities in a professional manner
– Ability to take criticism constructively and follow instructions with a positive attitude
– Strong attention to detail and highly organised
– At least one-year experience as an administrative assistant, digital marketing specialist, or content writer.
– Ability to document processes and procedures.

Workspace Requirements
