Job Title: Virtual Assistant for Accounting Firm

Job Overview:
As a Virtual Assistant for our accounting firm, you will play a crucial role in supporting our team by handling administrative tasks and providing assistance in various accounting and financial activities. Your responsibilities will include managing schedules, handling client communications, organizing financial documents, and ensuring the smooth flow of day-to-day operations.

Responsibilities:

1. Administrative Support:
– Manage and organize calendars, schedule appointments, and coordinate meetings.
– Handle incoming emails, phone calls, and other correspondence.
– Maintain and update client databases and contact lists.
– Prepare and modify documents, including reports, invoices, and financial statements.

2. Client Communication:
– Act as a point of contact for clients, addressing inquiries and providing necessary information.
– Assist in client onboarding processes and ensure all required documentation is collected.
– Communicate with clients regarding document submissions, deadlines, and general inquiries.

3. Document Management:
– Organize and maintain electronic filing systems.
– Ensure timely and accurate filing of financial documents, receipts, and invoices.
– Assist in the preparation and distribution of financial reports.

4. Bookkeeping Support
– Input and categorize financial transactions using accounting software.
– Reconcile bank statements and credit card transactions.
– Assist in preparing financial reports and summaries for review.

5. Task Coordination
– Coordinate tasks and projects within the accounting team.
– Collaborate with team members to ensure deadlines are met and priorities are addressed.
– Assist in tracking project progress and reporting to management.

6. Data Entry and Analysis:
– Accurately enter financial data into accounting software.
– Assist in data analysis and generate relevant reports for decision-making.

Requirements:

1. Education and Experience:
– Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is advantageous
– Previous experience as a virtual assistant or in an administrative role is an advantage.

2. Skills:
– Proficiency in using Xero, Drop Box, Quickbooks, MYOB and Microsoft Office suite.
– Strong organizational and multitasking abilities.
– Excellent communication and interpersonal skills.
– Attention to detail and accuracy in data entry.
– Ability to maintain confidentiality and handle sensitive information.

3. Technology:
– Familiarity with virtual communication tools (e.g., email, video conferencing).
– Knowledge of cloud-based storage systems.

Working Conditions:
– This is a remote position with 8 hours a day on Australian Eastern Standard Time.
– Regular communication with team members and clients is essential.
– Access to a reliable internet connection and necessary software tools.
