Admin Manager / VA to company Director ( Quarters Property Management)

Description: Independent Property Rentals/Lettings business with long history is looking for an Admin Manager who will also twin as a PA to the company director.

You will primarily be responsible for managing the tasks and processes related to the tasks surrounding property management. We have 2 sides to our business.

1.) Short stay rentals –
The core of this job role is to be the main person who interacts with customer’s for our vacation properties. Your details will be listed and you will receive alerts of client activity they may also contact your for your assistance for anything like directions, check in, help with accessing properties or help within the property.

You will also be given ad hoc activities that relate to booking lettings etc
You will be required to be proactive logging into our site on a daily basis reviewing the list of people checking in and out along with cancelled and New bookings.

2) Property Manaegemt VA
Job Duties

• Responds to phone calls, emails, and website inquires professionally, and in a timely manner
• Managing office voicemail system
• Facilitates communications with team members, including daily and weekly ad hoc status reports
• Creates and organizes prospect/client files, and oversees customer relationship management database
• Diary Management / Appointment booking
• Managing maintenance calls / Booking in property maintenance and liaising with clients/tenants/ trades
• Advertising properties on platforms

Qualifications
• Computer literate, Apple-MAC proficient, proprietary web-based applications, and comfortable learning new programs quickly and efficiently – Intermediate level on Excel spreadsheets – Comfortable using social media to intermediate level
• Use of proper spelling/grammar; solid written and verbal communication skills
• Customer-focused, proactively handles challenging situations, able to collaborate, solve problems and exceeds customer expectations
• Task oriented with high quality, organized, able to re-prioritize throughout the day, strong sense of urgency, and personal accountability
• Adaptable, learns quickly, and responds effectively to varied challenges

• Real estate experience helpful, not required. Must have virtual PA experience along with strong office / admin experience

Work Environment,
Hours & Salary: •
Schedule: Part time 27 hours per week, virtual-based position,
Monday – Saturday 10am to 2:30pm UK time or 2:30 – 7pm
• Salary: Starting at $100 – with payment regular reviews and bonuses

About The Team: Since 2014 – We have been operating in the London (UK ) Lettings / Rental sector. We specialise in property management and have over 100 individual tenants at any time as well as our own portfolio of tenants. We also do extensive work in Rent to Rent / HMO / Various Niche Trainings services within UK based lettings and Property Sales. We have our Main office in East London.
