Job Description:
As a Virtual Billing Assistant, you will play a crucial role in our financial operations. Your primary responsibilities will include:
• Running and Managing Client Billing Processes: You will oversee the entire billing cycle. This includes generating accurate and timely invoices based on client agreements and services rendered ensuring all billable hours are accounted for.
• Issuing and Sending Out Bills to Clients: You will prepare detailed bills and send them to clients. This task requires meticulous attention to ensure all charges are correct and bills are sent promptly to maintain cash flow.
• Generating Reports on Outstanding Bills: Regularly produce financial reports detailing accounts receivables’ status. These reports are crucial for the firm’s management to understand the financial health and outstanding balances.
• Following Up on Outstanding Bills: You will monitor accounts to identify overdue payments and take necessary actions. This involves contacting clients via email or phone to remind them of their outstanding bills and discuss any billing issues they might have.
• Contacting Clients Regarding Their Outstanding Bills: Establish and maintain professional yet empathetic communication with clients regarding their bills. This includes negotiating payment plans if necessary and handling any disputes or queries related to billing.
• Maintaining Confidentiality and Adhering to Legal Standards and Firm Policies: As a part of a law firm, you will handle sensitive information. You must maintain the highest level of confidentiality and comply with all legal standards and firm policies regarding client information and billing practices.
Key Qualifications:
• Proven experience in billing, finance, or a related field.
• Excellent organizational and time-management skills.
• Strong communication and interpersonal abilities.
• Proficiency in MS Office.

Schedule: This is a part-time position, with an estimated 20-25 hours per week. The specific schedule can be negotiated based on mutual agreement.
