Job Description: Virtual Brand Marketing Assistant
ROLE AND RESPONSIBILITIES
We are seeking a Virtual Brand Marketing Assistant to perform administrative duties in support of our marketing operations. As a Virtual Assistant, you will be responsible for managing artwork and packaging updates, completion of form updates, scheduling meetings, reviewing online content, database entries and maintenance, proofreading specifications from one document to another, E-Commerce site content audits, and collecting and distributing image and content files to external companies as required. You will also be responsible for maintaining project trackers and various other marketing tasks.
RESPONSIBILITIES:
– Update and maintain the product database. – Review specifications across various forms and compare them to the database to ensure accuracy.
– Work with Regulatory, Planning, International and Domestic Sales and other departments to efficiently field incoming requests. – Collaborate with Brand Manager to identify action needed on various requests and projects.
– Collaborate with the Creative Department to acquire files for verification and distribute updated files as needed.
– Manage art updates and packaging routing processes for all artwork and copy changes.
– Maintain task and project trackers.
– Create and submit request forms for marketing projects.
– Assist in the preparation and submission of New Product Development (NPD) requests.
– Manage purchasing requests for marketing materials and supplies. – Develop and maintain project trackers to monitor progress and deadlines. – Create and update product description pages. – Prepare assets for buyer dock presentations.
– Provide proofreading and editing support for marketing materials.
– Work with E-Commerce team to ensure the accuracy of online content and copy.
– Handle QR code requests. – Assist with various other marketing-related tasks as needed.
QUALIFICATIONS:
– Proven experience as a virtual assistant or in a similar role. – Strong organizational and time management skills.
– Proficiency in using digital tools and software relevant to marketing tasks, including: Word, Excel, PowerPoint, Canva, project management tools, and others.
– Excellent written and verbal communication skills.
– Attention to detail and a commitment to quality.
– Ability to work independently and meet deadlines. – Ability to manage multiple tasks accurately.
– Sense of urgency.
WORKING HOURS:
– 9:00 AM to 5:00 PM Pacific Standard Time.
