As a Virtual Customer Sales Order Specialist, you will play a crucial role in ensuring a seamless and satisfactory experience for our customers. The ideal candidate will be responsible for managing and coordinating customer orders from inception to delivery. This includes providing accurate information, addressing inquiries, and ensuring timely order fulfillment through effective communication with vendors, suppliers, and internal teams.
Key Responsibilities:
1. Receive and Process Orders:
Efficiently receive and process customer orders.
Verify order accuracy and completeness.
2. Order Status Communication:
Provide customers with accurate and timely information regarding the status of their orders.
Proactively communicate any changes or delays.
3. Vendor and Supplier Coordination:
Collaborate with vendors and suppliers to ensure product availability.
Follow up to guarantee timely deliveries and address any issues.
4. Shipping Coordination:
Determine accurate pick-up and shipping dates for customer orders.
Share tracking numbers and estimated time of arrival with customers.
5. Payment Status Updates:
Keep customers informed about their payment options and ensure timely processing.
Address customer inquiries related to payment status.
6. Product and Delivery Inquiries:
Respond to customer inquiries regarding products and delivery.
Provide comprehensive information and solutions to common questions.
7. Quoting Services:
Generate and provide accurate quotes for in-house and third-party freight services.
Collaborate with relevant departments to ensure competitive and accurate pricing.
8. Warehouse Coordination:
Liaise with the warehouse team to ensure all orders are prepared and completed before delivery.
Monitor inventory levels and communicate any discrepancies.
9. Understanding Product Identifiers:
Acquire a deep understanding of suppliers’ unique product identifiers and SKUs.
Utilize this knowledge to facilitate efficient order processing.
10. Sales Collaboration
Communicate with team members about details regarding new or existing orders.
Redirect product information inquiries to the person responsible for updating/producing the information required.
Qualifications and Skills:
Proven experience in customer service or order processing roles.
Excellent communication skills, both written and verbal.
Strong organizational and time-management skills.
Detail-oriented with a focus on accuracy.
Ability to multitask and work effectively in a fast-paced environment.
Proficient in using relevant software applications and systems.
