Job Summary:
We are looking for a skilled and experienced Virtual Executive Assistant (EA) to provide comprehensive administrative support to our executive team. The ideal candidate will be a detail-oriented professional with excellent communication skills, capable of handling high-level administrative tasks, managing schedules, and ensuring the smooth operation of the executive office.
Key Responsibilities:
– Calendar Management: Efficiently manage and coordinate the executive team’s schedules, including meetings, appointments, and travel arrangements.
– Email Management: Monitor, organize, and respond to emails on behalf of executives, prioritizing and escalating urgent matters as necessary.
– Meeting Coordination: Arrange and coordinate virtual and in-person meetings, including preparing agendas, taking minutes, and following up on action items.
– Communication Liaison: Act as a primary point of contact between the executive team and internal/external stakeholders, maintaining professionalism and confidentiality.
– Document Preparation: Prepare, edit, and format reports, presentations, and other documents as required.
– Project Management: Assist in the planning and execution of projects, tracking progress, and ensuring timely completion of tasks.
– Administrative Support: Handle various administrative tasks such as expense reporting, data entry, and record keeping.
– Research and Analysis: Conduct research and gather information to support executive decision-making processes.
– Confidentiality: Maintain a high level of discretion and confidentiality in all interactions and activities.
Qualifications:
– Experience: Minimum of 3 years of experience as an Executive Assistant reporting to executive team members.
– Education: Bachelor’s degree in Business Administration, Communications, or a related field is preferred.
Skills:
– Exceptional organizational and time management skills.
– Very strong written and verbal communication abilities in English.
– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
– Experience with project management tools and software.
– Ability to multitask and prioritize effectively in a fast-paced environment.
– Strong problem-solving skills and attention to detail.
