We are looking for a motivated and organized Virtual Executive Assistant to join our team. This role is vital to maintaining the efficiency and effectiveness of our operations, ensuring that our listings are optimized, and providing top-notch support for onboarding new properties.
Job Summary:
The Virtual Executive Assistant will be responsible for managing daily updates to our Airbnb and VRBO listings, ensuring competitive pricing, creating and updating property-related documents in Canva, and assisting with the onboarding of new properties. The ideal candidate is a self-starter who excels in process improvement, has strong organizational skills, and can work independently while closely shadowing and supporting the executive team.
Key Responsibilities:
Listing Management:
– Update all Airbnb listings daily.
– Update all VRBO listings daily.
– Check and adjust pricing daily for all listings to ensure competitiveness.
Document Creation and Management:
– Create and update welcome books, WiFi signs, and cleaning guides using Canva.
– Maintain accurate and up-to-date property information and guides.
Onboarding New Properties:
– Research pricing and comparables for each new property.
– Set up automations for new co-hosting clients, including messaging, pricing, and scheduling cleaners.
– Ensure properties are cross-posted on sites like Airbnb, VRBO, Google Vacations, etc.
– Optimize Airbnb listings for maximum visibility and bookings.

– Schedule cleaning services and photography sessions.
– Automate guest reviews using Hospitable.
Contractor Coordination:
– Research and obtain quotes from contractors (handymen, roofers, landscapers, pool service, etc.).
– Maintain a database of reliable contractors and service providers.
Lead Generation and Management:
– Obtain lead lists from various sources as directed.
– Track and manage leads to ensure timely follow-up and conversion.
Process Improvement:
– Proactively identify opportunities to streamline and improve processes.
– Document and refine standard operating procedures.
Support and Shadowing:
– Shadow the executive team to understand and document processes.
– Provide administrative support as needed to facilitate smooth operations.
Qualifications:
– Proven experience as a Virtual Assistant or relevant role.
– Proficient in using Airbnb, VRBO, and other short-term rental platforms.
– Strong skills in Canva for creating and updating documents.
– Familiarity with property management software and automation tools (e.g., Hospitable, AirDNA, Pricelabs, etc.).
– Excellent research skills for pricing, comps, and contractor quotes.
– Highly organized with exceptional attention to detail.
– Self-starter with a proactive approach to problem-solving and process improvement.
– Strong written and verbal communication skills.
– Ability to work independently and manage multiple tasks simultaneously.
Preferred Qualifications:
– Experience in the property management or short-term rental industry.
– Familiarity with scheduling and booking platforms.
– Knowledge of automation tools and techniques.
