We are seeking a highly organized and proactive Freelance Virtual Executive Assistant to join our dynamic team. As we prepare for an exciting phase of strategic expansion, your role will be pivotal in managing appointments with potential Digital Operations Managers (DOMs) and assisting with diary management to enhance operational efficiency. This position offers the opportunity to be part of a groundbreaking project in the mobility sector, akin to being involved in the early days of SpaceX or Tesla type unicorn but in the realm of urban transportation in the Philippines.
Responsibilities:
Schedule and manage appointments with potential DOMs, ensuring optimal coordination and communication.
Maintain and update CRM with detailed records of interactions and appointments.
Manage the executive’s diary, prioritizing tasks and organizing schedules effectively.
Handle email correspondence, filter important emails, and summarize contents for easy reference.
Assist with various administrative tasks as needed to support executive and team efficiency.
Requirements:
Proven experience as a Virtual Executive Assistant or similar role, with references or portfolio to showcase previous work.
Exceptional organizational skills and meticulous attention to detail.
Proficiency in CRM software (preferably Hubspot), Microsoft Office Suite (particularly Outlook and Teams for email and calendar management), and other productivity tools.
Excellent written and verbal communication skills in English.
Ability to handle confidential information with integrity and discretion.
Strong internet connection and a reliable computer, as this is a remote position.
Availability to work within the Eastern Standard Time (EST) for coordination, with the flexibility to also cover the Philippine Time Zone (GMT+8) as required.
Ideal Candidate:

You have a positive attitude and are flexible to adapt to the dynamic needs of a rapidly growing initiative.
You are tech-savvy, comfortable learning new software quickly, and can troubleshoot minor technical issues.
Experience in the mobility sector or tech startups is a plus but not required.
