Who We’re Looking For
We’re looking for an experienced Executive Assistant that can free up the President to focus on marketing and business development.
With the upcoming launch of 2 new businesses directly under our umbrella, a partnership with a 7-figure a year business to launch a coaching program, and a documentary project spanning 6 months, the President needs help managing this schedule, getting reminders and follow-ups to make sure everything is on time, recording meeting notes, research, and content creation.
This is a remote or work-from-home role and would ideally suit someone wanting to work 8 hours a day, 5 days a week. This would be a night shift (9PM – 6AM PH Time) because our clients are in the US.
You should be ready and willing to get great satisfaction from serving our audience and become an integral part of our small creative team.
You should have excellent people skills, integrity, and attention to detail, as well as a proactive mindset.
You’ll report directly to the President.
Responsibilities
Email Management: Efficiently prioritize, categorize, and manage incoming emails, ensuring that critical messages receive immediate attention.
Calendar Management: Oversee and adjust the president’s calendar, ensuring optimal time management and preparation for each commitment.
Call Handling: Professionally answer incoming phone calls, directing them to the appropriate parties, and make outgoing calls as necessary, ensuring clarity and purpose in each conversation.
Call Coordination: Schedule, confirm, and prepare for calls with clients, team members, or other stakeholders.
Note-taking: Attend meetings and calls, capturing detailed notes and actionable items for future reference.
Contact Management: Regularly update and maintain a key contacts database, ensuring information accuracy and easy accessibility.
Team Collaboration: Act as a bridge between the president and team members or external partners, ensuring smooth communication and coordination.
Process Improvement: Continuously identify and suggest ways to refine administrative processes for heightened efficiency.
Experience
Technical Proficiency: Comfortable using email platforms, calendar apps, virtual meeting software, and phone systems. Familiarity with tools like Notion, Canva, ChatGPT, and Slack is an advantage.
Prior Role Experience: Minimum of 2 years in an executive assistant role, preferably remote, with a history of handling phone communication.
Communication: Demonstrated skills in written and verbal communication, including professional phone etiquette.
Problem-Solving: A track record of facing challenges head-on and devising innovative solutions.
