Job Description

Key Responsibilities
Strategic Planning:
Work closely with the CEO/Business Owner to develop and execute the organization’s strategic initiatives
Conduct research and analysis to inform strategic decision-making
Assist in the development and implementation of long-term growth strategies
Project Management:
Lead and oversee the planning, execution, and completion of strategic projects, ensuring they are delivered on time and within budget
Develop project plans, timelines, and milestones, and track progress to ensure goals are met
Identify and mitigate project risks, and develop contingency plans as needed
Apply professional project management principles, practices & tools to lead projects.
Communication and Reporting:
Serve as a liaison between the CEO/Business Owners and various departments, ensuring alignment on strategic priorities
Prepare and deliver clear and concise reports, presentations, and updates to senior leadership and stakeholders
Facilitate effective communication and collaboration across departments.
Problem Solving and Decision Support:
Provide analytical support and insights to help resolve complex business challenges
Investigate shortfalls, issues, and complaints in current business processes to Identify and deliver effective solutions
Collaborate with senior leadership in making informed decisions and optimizing resource allocation
Team Leadership:
Ensure that the team works in accordance with the approved company operating policies, procedures, practices, and methods
Propose training and workshops for employees and contractors on quality management and analytics
Performs other duties as assigned/necessary
Administrative:
Handle some administrative tasks such as but not limited to research, data gathering, email management, calendar management, social media management as needed
Qualifications:
– 5+ years’ experience as Executive assistant/Operations Manager
– Experience in implementing new technologies and improving business processes
– A sharp eye for identifying opportunities in processes and organizational structures
– Excellent understanding of project management principles and best practices
– Ability to gather, synthesize, and analyze data and draw logical conclusions
– Well organized and results-driven individual
– A strategic and analytical mindset
– An excellent communicator with top-notch presentation skills
– Dynamic thinking and problem-solving abilities
– Confidence in your abilities to lead organizational change
– Successful working independently and as part of a team
– Strict adherence to the company’s guidelines and policies
– Good time management skills, including prioritizing, scheduling, and adapting as necessary
– Proficiency with computers, especially writing programs, such as Google Docs and Microsoft Word, Excel, and PowerPoint as well as project management tools (e.g. Asana, ClickUp, etc)
