Job Description

As the President/CEO of a truck equipment manufacturing company, I am seeking a highly organized and detail-oriented Virtual Executive Assistant to provide comprehensive administrative support. This role is crucial for helping manage daily operations and ensuring efficient functioning of my office. The ideal candidate will be a self-starter with excellent communication skills and the ability to manage multiple tasks efficiently in a fast-paced environment.

Key Responsibilities:

• Email Management: Filter, sort, and manage email correspondence to prioritize urgent communications and ensure I respond to them timely.
• Calendar Management: Schedule appointments, organize meetings, and update my calendar to facilitate efficient time management. Ensure no scheduling conflicts and manage reminders.
• Clerical Tasks: Prepare reports, presentations, and data management as needed to support decision-making processes. Handle documentation, file management, and organize digital files for easy access and retrieval.
• Communication: Act as a liaison between me and other team members, stakeholders, and external partners. Manage communications and ensure I am informed of critical issues.
• Project Assistance: Assist in managing projects by tracking progress, deadlines, and updates. Coordinate with other team members to ensure smooth execution.
• Meeting Preparation: Prepare meeting agendas, perform background research, and ensure I have all necessary information ahead of meetings. Take detailed notes during meetings and follow up on action items.

Requirements:

• Proven experience as an Executive Assistant, Virtual Assistant, or similar role, preferably supporting higher-level executives.
• Strong command of English with excellent verbal and written communication skills.
• High proficiency in MS Office 365 Suite and modern digital tools; experience using AI tools is preferred.
• Excellent organizational and time management skills; able to prioritize tasks effectively.
• Strong problem-solving skills and the ability to make decisions quickly.
• Discretion and confidentiality are paramount.
• Must have a stable internet connection and a dedicated workspace for remote work.
• PH Graveyard shift: Monday – Friday 7:00 – 4:00 US Central Time Zone
