We are seeking a Virtual Executive Assistant to support our CEO in managing day-to-day operations and administrative tasks. This is a remote position, and the successful candidate will play a critical role in enhancing the efficiency and productivity of our executive office.
Responsibilities:
Calendar Management: Efficiently manage the CEO’s calendar, scheduling meetings, appointments, and conference calls. Ensure all commitments are prioritized effectively.
Email and Communication: Monitor and manage the CEO’s email inbox, drafting and responding to emails on their behalf. Maintain clear and organized communication channels.
Travel Arrangements: Coordinate domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries, ensuring a smooth travel experience.
Document Preparation: Assist in the preparation, editing, and proofreading of documents, presentations, and reports. Maintain confidentiality of sensitive information.
Meeting Coordination: Prepare meeting agendas, materials, and presentations. Attend virtual meetings, take minutes, and follow up on action items.
Expense Management: Handle expense reporting and reimbursements, ensuring accuracy and adherence to company policies.
Project Support: Assist in special projects and research tasks as assigned by the CEO, providing valuable insights and recommendations.
File and Data Management: Maintain organized digital filing systems, ensuring easy access to important documents and information.
Client and Stakeholder Relations: Manage and coordinate communications with clients, investors, and key stakeholders, fostering positive relationships on behalf of the CEO.
Time Management: Help the CEO prioritize tasks and responsibilities, proactively identifying opportunities to improve time management and productivity.
Qualifications:
Proven experience as an executive assistant or similar role.
Strong organizational skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite and virtual collaboration tools.
Ability to work independently in a remote setting.
Discretion and confidentiality when handling sensitive information.
Strong problem-solving and multitasking abilities.
Flexibility to adapt to changing priorities and deadlines.
Prior experience in the finance or investment industry is a plus.
