Job Description:

We are seeking a highly organized and detail-oriented Virtual Executive Assistant to support a healthcare provider. This role requires working in Pacific Standard Time (PST) and involves managing a variety of administrative tasks to ensure smooth and efficient operations.

Key Responsibilities:

Calendar Management: Schedule and coordinate appointments, meetings, and events, ensuring timely reminders and conflict-free scheduling.
Communication: Handle email correspondence, screen calls, and manage communication on behalf of the provider, maintaining professionalism and confidentiality.
Document Preparation: Prepare, proofread, and edit documents, presentations, and reports as needed.
Patient Coordination: Assist with patient scheduling, follow-ups, and maintaining patient records in compliance with HIPAA regulations.
Billing and Invoicing: Support billing processes, including preparing invoices, tracking payments, and resolving billing inquiries.
Task Management: Track and prioritize tasks, projects, and deadlines to ensure timely completion.
Research: Conduct research and gather information as required for projects, presentations, and decision-making.
Technology Proficiency: Utilize various software and tools, such as Microsoft Office Suite, Google Workspace, and healthcare management systems.
Qualifications:

Experience: Minimum of 2 years of experience as an executive assistant, preferably in a healthcare setting.
Skills: Strong organizational, multitasking, and communication skills with a keen attention to detail.
Technical Skills: Proficient in Microsoft Office Suite, Google Workspace, and experience with electronic health records (EHR) systems.
Time Management: Ability to work independently and manage time effectively, adhering to the PST work schedule.
Confidentiality: Maintain strict confidentiality and handle sensitive information with discretion.
Working Hours: This is a remote position requiring availability during Pacific Standard Time business hours.
