Job Description

Inbound Found () is looking for a 100% remote virtual executive assistant for a website design and marketing agency’s co-owner/operator, Jim. The ideal candidate will have excellent communication skills in English speaking and writing as well as experience in an administrative, personal assistant, or operations role.

We work with mostly mid-size B2B companies designing and optimizing large websites for business performance using a UX, SEO and CRO centric approach to website content strategy.

J O B . R E S P O N S I B I L I T I E S
Provide Executive Support (organizing priorities, calendar management, answering/triaging emails, taking items off of my (Jim, co-founder/co-owner) plate, anticipating and planning for the future)
> Be proactive and anticipate my needs once you have a sense of our goals, both short-term and long-term
> Help structure daily and weekly schedule, and keep me on track while making scheduling changes as urgent items come up
> Assist me with account management and sales enablement, such as setting reminders for next step sales activities in the CRM, analyzing which accounts have opportunities for more work, and collecting lead info and personalizing drafted outreach emails
> Meet with the key team members to check that all client work is within budget and on time, identify issues, and consolidate project and team updates and statuses for my review
> Triage and convert client’s emailed requests into digestible tasks and delegate them to appropriate team members

Provide Administrative Support (back office tasks such as invoicing, scheduling, setting up payroll payments, submitting monthly cashflow reports)
> Manage recruitment efforts, post job listings, narrow candidate lists, and schedule and track interviews
> Calculate and schedule payroll, generate cash flow reports monthly, quarterly, annually, and do basic bookkeeping, such as tagging transactions appropriately and setting aside revenue for taxes
> Conduct web research or assist with spreadsheet related tasks for client work when needed, such as tagging articles with appropriate labels based on provided rules or conducting keyword research (we’ll train you in anything specific like this)

J O B . R E Q U I R E M E N T S
– Excellent written, speaking and listening comprehension in English
– Polite, friendly, and professional communication skills to interface with team members and occasionally, clients
– Ability to handle tasks, prioritize effectively, and deliver quality work under minimum supervision
– A can do attitude with an “I got this” spirit
– A strong and reliable Internet connection and computer (please provide screenshots)
– Experience with modern technology tools:
– spreadsheets (e.g. Google Sheets)
– online calendars and scheduling (e.g. Google Calendar, Calendly)
– communication tools (Zoom, Slack, Google Workspace/Gmail)

A . P L U S . B U T . N O T . R E Q U I R E D:
– familiarity with web design, SEO, content strategy, digital marketing
– previous executive assistant experience
