Overview
Our Client is a boutique law firm specialising in small business advisory, commercial law, franchising, conveyancing, aviation and litigation/disputes. They are a small and dedicated team of legal professionals focused on providing exceptional services to our clients in these complex areas of law.
They are a dynamic law firm looking for a talented and motivated virtual legal assistant to join our law firm’s team. The ideal candidate will have excellent communication skills, a strong attention to detail, and a thorough understanding of legal terminology and procedures. As a virtual assistant, you will provide administrative and secretarial support to our solicitors, paralegals, and legal team.
KEY RESPONSIBILITIES – Law Firm Support:
• Inbox management.
• Precedent Management and automation
• Conduct legal research and prepare reports for solicitors and the legal team.
• Email management, bookkeeping, administration, finance, marketing, content creation, customer service, social media, graphic design, and more.
• Draft legal documents, including correspondence, pleadings, and briefs using our internal AI platforms.
• Manage solicitor calendars and schedule appointments and meetings.
• Communicate with clients, opposing counsel, and court personnel on behalf of solicitors and the legal team.
• File and manage legal documents in electronic and physical formats.
• Proofread and edit legal documents for accuracy and compliance with legal procedures.
• Assist with billing and invoicing, including reviewing and preparing invoices and monitoring client accounts.
• Bookkeeping.
•. Admistrative Phone calls
• Perform general administrative duties, such as answering phones, responding to emails, and managing office supplies and equipment.
• measure the effectiveness of marketing strategies and make data-driven decisions

QUALIFICATIONS:
• Bachelor’s degree in legal studies, paralegal studies, or a related field.
• Experience as a virtual assistant in an Australian legal setting.
• Strong understanding of legal terminology and procedures.
• Excellent communication skills, both written and verbal.
• Proficiency in:
• Microsoft Office Suite and other legal software programs.
• Actionstep (or Leap, Smokeball or similar)
• Ability to work independently and manage multiple tasks simultaneously.
• Ability to trouble shoot in isolation.
• Attention to detail and ability to prioritise tasks.
• Strong work ethic and commitment to maintaining confidentiality.
Desirable but not essential qualifications.
• Competence in use of the following software:
• Xero
• Otter
• Victorian Conveyancing
