Job Overview:
The Offsite Marketing Assistant works closely with the Executive Leadership Team and Social Media Agency.
Partners. General duties include photo archiving, organizing, editing, keywording, and cataloging; organizing,
sorting, cleaning up, cultivating, and growing company databases; researching, identifying, and outreaching new
potential clients and vendor partners; conducting market research and competitive research; following up with
vendors and venues on mutual marketing deliverables; providing general administrative support to the Managing
Partner and Executive Leadership team and Social Media Agency Partners as needed.
Responsibilities Include:
Photo management, archiving, keywording, and tagging in photo software
Reviewing, selecting, and rating the best photos
Photo editing and light retouching to curate digital photo archives
SEO keywording photos, renaming photos, and adding vendor information to photoshoots so that vendors
can be tagged on social media
Researching vendor social media handles and adding them to the company database and photo shoot catalogs
for future social media posting Preparing the best photos for the sales team, marketing team, marketing agencies, and press.
Identifying the best photos for various physical and digital marketing collateral and branding needs
Daily data entry of business contacts and mailing lists and updating vendor and venue resource
Daily completion, creation, and delegation of tasks in Asana or other company task management software
system
General Google Drive document cleanup and data entry
Identifying new potential clients and sending initial outreach emails.
Researching new event industry vendors and event venues to help build and improve databases
Communicates with current event industry vendor partners and event venues to ensure a checklist of
marketing deliverables have been completed on both sides
Manages information flow in a timely and accurate manner
Assist various marketing, public relations, and advertising firms to create and amplify Company and client
messaging
Identify and outreach to key influencers, industry bloggers, and local/national media
Documents company systems and improves Standard Operating Procedure (SOP) documents
Skills and Abilities:
2-3 years of marketing or administrative experience
Experience with photo cataloging, keywording, and SEO
Professional, dependable, honest & ethical
Excellent verbal and written communication
Ability to treat proprietary and client information with appropriate confidentiality, including signing
Non-Disclosure Agreements upon hire and maintaining discretion within the office environment
Enthusiasm and drive to succeed with the flexibility to work in a dynamic, fast-paced environment
Organized, detail-oriented, time manager, fast learner
Comfort and savvy with IT issues and multiple technology apps and platforms
Experience working in Asana or other task management software
Knowledge of file-sharing software & social media platforms
Strong knowledge of Google Workspace, including an excellent understanding of Google Sheets
Knowledge of the food & beverage, wedding event industry, or catering industry is preferred
