Job Description

The practice administrator or the medical director, at their sole discretion, will assign a Virtual Medical Assistant to any of the role’s roles listed below. VMA will be restricted to only one assigned role at the time. VMA must be enthusiastic and friendly while assisting the providers to enhance the practice workflow and perform sundry clinical administrative tasks.

Virtual Medical Assistant Position is a Part-Time to Full-Time position (schedule is subject to change). Work hours will be assigned according to the workload assigned and VMA performance.

Duties and Responsibilities:
1. Prepare the shell of the progress note for the next day’s encounters. This includes
a. virtually pull the patient’s chart
b. Insert the appropriate customs forms, Memo contents, and flow sheets

2. Call patients 24-48 hours prior to their encounter and take a history using EHR templates provided

3. Send orders for bloodwork, imaging studies, or other preventive services as ordered by providers – this is to be done prior to the encounter

4. Check the last encounter to see if the patient was referred anywhere and if the records are on the chart. If not, obtain the medical records from the consultant’s office.

5. Send referrals, imaging studies requisitions post-encounter as ordered by the providers
6. Review the schedule at the end of each day for no-shows. Assign those encounters to the providers for deletion

7. Perform other tasks as assigned by the providers.

Job Requirements and Qualifications:
• Be a Registered Nurse or Allied Healthcare professional (education can be replaced with comparable medical experience).
• Have at least 1 year of Virtual Medical Assisting experience in an outpatient clinic setting
• Have a Strong understanding of medical terminology, anatomy, medications, abbreviations, charting, and etc.
• Ability to timely summarize medical records/ charts
• Have Advance Verbal and Written English communication skills
• Must have a typing speed of at least 60 words per minute.
• Ability to maintain accuracy level of 99.5% and above consistently
• Must be able and willing to Perform General Administrative Tasks
• Have strong listening skills, proactive communication, attention to detail, and the ability to meet a deadline.
• Be Willing to commit to 35-40 hours weekly and to remotely work Central US Standard time Mon – Friday (8 AM to 5 PM).
• Must be a team player and willing to communicate with other practice staff.
• Must have a broad knowledge of various EMR systems and be quick to learn new EMR systems.
• Must be Technology savvy, responsible, confident, and self-motivated.
• Must be self-motivated, dedicated and have a distraction-free HIPAA compliant workspace at home for work
• Must have a primary dedicated Windows 10 or Higher OS desktop or laptop with at least i5 processor, 8 GB RAM with an HD webcam (Include a link showing the computer system Properties)
• Must have a Backup PC or Laptop conforming to primary computer specifications. (Laptop – Please detail hardware/software configuration when applying)
• Have a reliable, secure, and private high-speed internet connection (at least 3mbps up and down speed)
• Must have a Backup ISP
