Duties & Responsibilities

ADMIN (DATA ENTRY, QUALITY MANAGEMENT, PROJECT & TASKS MANAGEMENT)

Providing administrative support which includes: data entry, appointment scheduling, email management, text messages with client and staff
Able to learn Asana (Our task/project management system)
Able to work with and report directly to the owner, marketing director, manager, and assistant manager
Can assist with maintaining our Quality Management processes daily, weekly, or monthly.
Able to attend training and staff meetings via Zoom
Managing inbound and outbound calls to and from our residents’ families, providers, vendors, and companies regarding inquiries, appointments, and data verification (maintaining great phone etiquette). Pleasant phone voice and excellent English.
Routing Faxes/filing documents in google drive
Assist in updating website and social media accounts
Follow through with a task/project from start to finish

CLIENTS/RESIDENTS

Help address resident families’ concerns through phone, text, or email
Strict adherence and compliance with the HIPAA policy
Transcribes physician orders, reviews MARs for accuracy, and notifies pharmacy of changes.
Navigating through EMR (Electronic Medical Records) systems such as “ECP”
Assisting families with patient portal questions and issues in the EHR
Assist with new client ONBOARDING
Help in tracking paid/unpaid invoices through Quickbooks

STAFFING/CAREGIVERS

Establishing a professional relationship with our caregivers; Acts as a primary liaison between our caregivers, the families of residents, and the management
Assist with new staff ONBOARDING
Help to address staff and applicant concerns through phone, email or text
Assist with the recruitment process
Help with emergency staffing issues (call-offs, absences, late etc)
Assist with covering open shifts
Maintain work schedule (update scheduler if necessary)
Assist in keeping our caregiver’s Daily Scorecard Dashboard consistently
Track and maintain our applicant database

Qualifications

Excellent communication skills (both oral and written proficiency)
Has the ability to comprehend by integrating information, main ideas, and summarizing information
Must be able to understand instructions given to them
Excellent time management, strong attention to detail, accuracy and is able to follow through with tasks
At least 3 years of experience in a medical-related background
Proficient with Google Workspace and can learn new apps and processes quickly
Great researching skills
Tech savvy and fast learner
Should have reliable internet, work area, and uses a desktop computer. (Desktop computers should have a higher-end processor; Core i7 or Ryzen 7 is accepted and headphones should have noise cancellation features!)
Willing to use a Timetracker with screenshots
