Job Description

We are seeking a highly motivated and organized Virtual Assistants based in the Philippines to join our team. The ideal candidate will be responsible for handling overflow phone calls from leads and clients, addressing invoice inquiries, creating reports, managing our CRM system (Service Auto Pilot), filtering and responding to emails, and organizing email inbox. As a key member of our team, you will also actively participate in office meetings and gradually familiarize yourself with our lawn care services, such as weed control and mowing, to assist in client interactions and contribute to website content. We are a lawn maintenance company located in Tulsa, Oklahoma in the United States. We offer residential and commercial mowing maintenance services and turf applications which includes weed control/fertilizer and outdoor pest control services. We also offer irrigation repair, leaf removal and basic lawn cleanup services.

We’re a young and growing company and we like to have fun while getting the job done right, and are looking for remote team members to help us do that!

Responsibilities:

1. Handle overflow phone calls from leads and clients, providing excellent customer service.

2. Setting up new lead information inside our CRM Service Auto Pilot. Setting up onsite estimates for our sales team to go out and meet with clients.

3. Communication through Slack to communicate messages and tasks within our office.

4. Address invoice questions and manage email invoice inboxes efficiently.

5. Create reports for office use, ensuring accuracy and timely delivery.

6. Follow up with new clients in 7, 30, 60 and 90 day follow up process to gain feedback on how they enjoy our services and take action for any that require attention or are not happy.

7. Account Audits/setting up new clients accounts for our mowing and weed control/pest control services.

8. Utilize the software that runs our company. Its called “Service Auto Pilot” CRM system to manage client information and tasks.

9. Filter and respond to emails in a timely manner, maintaining a high level of professionalism.

10. Actively participate in office meetings, providing input and updates as required.

11. Learn about our lawn care services, including weed control and mowing, to handle client inquiries and contribute to website content.
