Angel City Virtual Assistants is seeking a highly skilled and organized individual to join our team as a Virtual Front Desk Pediatric Experience Specialist. In this role, you will be responsible for managing the virtual front desk operations for our pediatric practice, ensuring seamless communication and efficient workflows between patients, healthcare providers, and administrative staff. It is essential for the candidate to have a strong understanding of pediatric practice operations and experience with Electronic Medical Records (EMR) software, particularly Office Practicum (OP).
Responsibilities:
Virtual Front Desk Management:
Handle incoming calls, emails, and virtual inquiries from patients, parents, and other stakeholders.
Schedule appointments, manage cancellations, and reschedule appointments as needed.
Verify insurance coverage and assist with insurance-related inquiries.
Provide information to patients regarding office policies, procedures, and services.
Ensure timely and accurate documentation of patient information in the EMR system.
Patient Experience:
Create a welcoming and supportive virtual environment for patients and families.
Address patient concerns and inquiries promptly and professionally.
Assist with patient registration and check-in processes.
EMR Management:
Proficiently navigate and utilize the Office Practicum (OP) EMR system.
Enter and update patient demographics, medical history, and insurance information.
Generate and manage electronic health records (EHR) efficiently.
Collaborate with clinical staff to ensure accurate documentation and record-keeping.
Administrative Support:
Assist with billing inquiries, payment processing, and financial transactions.
Coordinate referrals to specialists and other healthcare providers.
Collaborate with other administrative staff to ensure smooth practice operations.
Quality Assurance:
Maintain compliance with HIPAA regulations and patient confidentiality standards.
Participate in quality improvement initiatives to enhance the patient experience and operational efficiency.
Requirements:
Previous experience working in a pediatric practice environment, preferably in a front desk or administrative role.
Proficiency in using Electronic Medical Records (EMR) software, specifically Office Practicum (OP).
Excellent communication and interpersonal skills.
Strong organizational and multitasking abilities.
Ability to work independently and as part of a team in a virtual setting.
Knowledge of medical terminology and insurance processes.
Commitment to providing exceptional customer service and patient care.
Attention to detail and accuracy in documentation and data entry.
