We are seeking a motivated and responsible virtual assistant to provide personal assistance to the founder of our company. The ideal candidate for this role is someone who has experience in customer service, virtual assistance, and management of online functions in order to provide the assistance we need in order to maintain day-to-day operations. The person in this role will be working closely with the founder in order to manage our multiple businesses and day to day tasks.
Qualifications:
Full-time employment
Appropriate and professional etiquette and customer service skills
Proficiency in English in order to communicate with clients and team members
Able to work efficiently in a remote work setting
1+ years of customer service or relevant virtual assistant or receptionist experience
Ability to manage and operate social media
Experience in answering incoming calls, emails, or messages
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
Ability to adapt to changing priorities and requirements, with a keen attention to detail and a commitment to delivering high-quality results
Responsibilities:
Managing the Owner’s Schedule:
Organizing and maintaining the owner’s calendar.
Scheduling meetings, appointments, and events.
Coordinating travel arrangements and itineraries.
Communication:
Acting as the first point of contact for the owner.
Screening and prioritizing emails, phone calls, and correspondence.
Drafting and managing communications on behalf of the owner.
Meeting Preparation:
Preparing agendas, materials, and presentations for meetings.
Taking meeting minutes and following up on action items.
Administrative Support:
Handling day-to-day information
Managing files, documents, and records.
Project Management:
Coordinating and managing special projects or initiatives as assigned by the owner.
Ensuring deadlines are met and projects are on track.
Liaison:
Interacting with other members of the team and clients.
Facilitating internal and external communications
Personal Tasks:
Occasionally assisting with personal digital tasks and errands.
Managing personal appointments and commitments.
Problem-Solving:
Anticipating needs and proactively managing potential challenges.
