Job Title: Virtual Personal Assistant to CEO

*Job Overview:*

We are seeking a highly organized and proactive Virtual Personal Assistant to support our CEO in managing their day-to-day activities and ensuring seamless operations within the company. As a tech-forward organization specializing in interactive kiosks, custom software solutions, and robotics, we require an assistant who is not only adept at administrative tasks but also comfortable with the digital landscape we operate in.

*Key Responsibilities:*

– *Calendar Management:* Schedule, coordinate, and manage the CEO’s appointments and meetings to optimize their time efficiently.

– *Communication Handling:* Manage incoming and outgoing communication for the CEO, including emails, phone calls, and social media inquiries, ensuring professional and timely responses.

– *Staff Coordination:* Liaise with staff members to delegate tasks as directed by the CEO, follow up on progress, and ensure accountability for their completion.

– *Document and Presentation Preparation:* Assist in preparing and reviewing documents, reports, and presentations, ensuring they meet company standards and CEO’s expectations.

– *Meeting Preparation:* Organize and prepare materials for meetings, including agendas, reports, and follow-up action items.

– *Travel Arrangements:* Plan and organize travel itineraries, including flights, accommodations, and transportation as needed.

– *Project Assistance:* Support the CEO with various projects by conducting research, summarizing findings, and presenting insights to aid decision-making.

– *Expense Management:* Track and manage expenses for the CEO, ensuring accurate and timely reporting.

*Qualifications:*

– Proven experience as a Virtual Assistant or similar role supporting C-level executives.
– Proficient in office and productivity software, with the ability to learn new tools and platforms quickly.
– Exceptional organizational skills and the ability to prioritize tasks effectively.
– Strong communication skills, both written and verbal.
– Ability to maintain discretion with confidential information.
– High level of initiative and the ability to work independently.
– Familiarity with the tech industry, especially in areas related to interactive kiosks and robotics, is a plus.

*Working Conditions:*

– This is a full-time remote position with flexible hours to accommodate the CEO’s schedule, including the possibility of working across different time zones.
*** Main Hours 9-5pm EST Time Canada
– Must have a dedicated reliable internet connection and own computer equipment.
– Availability to respond to urgent requests outside of standard working hours when necessary.
