Key Responsibilities:
• Manage virtual front desk operations, including answering calls, responding to emails, and handling online inquiries.
• Greet and assist virtual visitors in a professional and courteous manner.
• Schedule virtual appointments and maintain an organized calendar for meetings and virtual events.
• Coordinate online meeting logistics and provide support to virtual attendees.
• Serve as the central communication hub for remote team members, relaying messages and facilitating communication.
• Ensure efficient communication flow within the virtual office.
• Provide exceptional customer service to virtual clients and team members.
• Address inquiries and requests promptly and professionally.
• Manage virtual mail and package deliveries, including sorting and coordinating with remote team members for distribution.
• Handle online shipping and tracking logistics.
• Assist with virtual administrative tasks, such as data entry, document preparation, and online file management.
• Collaborate with other remote administrative staff to support various functions.
• Ensure adherence to security protocols for virtual communication and information sharing.
• Handle basic collections tasks using templates provided by the client.
• Basic calendar management and appointment scheduling.
• Uphold privacy standards and confidentiality of sensitive information.
• Ordering business cards and custom company promotional products.
• Managing and forwarding inbound requests from website chat bots and social media accounts.
• Uploading content to our social media accounts and managing replies.
• Ad hoc tasks from the client.
Requirements & Qualifications:
• Bachelor’s degree or equivalent.
• Proven experience as a Receptionist or in a customer-facing role.
• Excellent verbal and written communication skills.
• Strong organizational and multitasking abilities.
• Proficiency in virtual communication tools and office software (e.g., Microsoft Office suite, virtual meeting platforms).
• Ability to handle sensitive and confidential information with discretion.
• Strong problem-solving skills and adaptability to a remote work environment.
• Customer service training or certification.
• Undergo 3 days of paid training. If there’s an urgency for the role, then the new hire must render an hour of paid OT before or after the shift for 3 weeks.
• Amenable to work Monday through Friday between 8 AM – 5 PM US Pacific Time Zone(PST).
Preferred Qualifications:
• Previous experience in a remote or virtual office setting.
• Familiarity with virtual phone systems and online office equipment.
• Basic knowledge of administrative and clerical procedures in a remote context.
