Job Overview:
As a Virtual Assistant specializing in appointment setting and follow-ups, you will be responsible for managing and streamlining our client acquisition process. You will work closely with our owner to ensure a steady flow of potential clients and maintain strong client relationships.
Responsibilities:
1. Client Vetting:
• Thoroughly review incoming leads and inquiries to ensure they meet our target customer criteria (before schedule an appointment)
• Determine the viability and potential value of each lead.
2. Appointment Setting:
• Reach out to qualified leads via phone, email, or other communication channels.
• Schedule appointments for our sales representatives with potential clients.
• Use a well-defined script to present our services and value proposition effectively.
3. Follow-Up:
• Implement a structured follow-up process to nurture leads and maintain ongoing communication.
• Send reminders to clients about scheduled appointments.
• Address any questions or concerns clients may have during the follow-up process.
• Follow up clients for potential questions and look for dates to schedule their projects
4. Client Data Management:
• Maintain accurate and up-to-date records of all client interactions and appointments in our CRM system.
• Regularly update client profiles with relevant information and notes.
5. Collaboration:
• Work closely with the owner to align strategies and improve lead generation efforts.
• Provide feedback on the effectiveness of lead sources and suggest improvements.
Qualifications:
• Strong communication skills, both written and verbal.
• Exceptional organizational and time management abilities.
• Self-motivated and able to work independently.
• Proficiency in using CRM software and other productivity tools.
• Previous experience in appointment setting, customer service, or sales is a plus.
• Familiarity with the residential painting industry or related fields is a bonus.
