Scope of Work:
Day-to-Day Website Maintenance:
Regular monitoring and maintenance of the website to ensure optimal performance and security.
Software updates, bug fixes, and troubleshooting as needed.
Content updates and minor modifications as requested by the client.
Accelerated Feature Builds:
Prioritize and schedule feature builds based on client’s requirements.
Implement features on an accelerated schedule where feasible, with consideration for quality assurance and testing.
Clearly communicate any potential impacts on timeline or cost due to accelerated schedules.
Feature Requests Management:
Establish a streamlined process for receiving, reviewing, and prioritizing feature requests from the client.
Assess each feature request for feasibility, impact on project timeline, and potential additional costs.
Provide regular updates to the client on the status of feature requests and any associated changes in scope or cost.
Project Management Software Implementation:
Configure the selected project management software/tool/process to include:
24/7 access to open, pending, and complete tasks.
Ability to assign and/or view priority levels, assignees, and estimated due dates for tasks.
Task status tracking and progress monitoring.
Estimation of hours required to complete each task.
Gathering assets and organizing files associated with tasks.
Ensure seamless integration with existing workflows and processes.
Project Management software example is Clickup.
Budget Management:
Monitor project hours and expenses closely using the project management software.
Track actual workload versus what is offered in the retainer.
Weekly meeting utilizing the project management software to provide insights into resource utilization and project progress.
Change Control and Additional Quotes:
Document any changes to the project scope or requirements through formal change control processes.
For significant feature requests or changes requiring additional time or resources beyond the retainer fee, provide detailed quotes for client approval before proceeding.
Communication and Reporting:
Maintain open and transparent communication with the client throughout the project lifecycle.
Offer improved progress updates, including detailed overview from the project management software on tasks completed, pending, and in progress.
Schedule periodic meetings or check-ins to review project status, address concerns, and align on priorities.
Deliverables:
Regular maintenance status updates detailing website updates, bug fixes, and performance optimizations.
Weekly 1 hour planning meeting with team with status updates, questions and review new build ideas.
Change control documentation for any scope changes or additional quotes.
