Job Description

We are seeking a skilled and reliable Virtual Assistant – Bookkeeper to support several property companies in the UK. The successful candidate will be responsible for maintaining accurate and up-to-date financial records for the companies, including a VAT registered lettings agency with 5 staff, a building company with 2 staff, and multiple property investment companies with staff. The virtual assistant will handle bookkeeping tasks, manage payroll-related responsibilities, and ensure compliance with UK tax regulations, including PAYE, VAT, and corporation tax. This role offers work time flexibility, with an initial workload of 2-6 hours per week and an hourly rate of $5-$9.

**Responsibilities:**
1. Conduct thorough and accurate bookkeeping for multiple property companies, including reconciling accounts, managing transactions, and maintaining well-organized records.
2. Ensure timely and accurate payroll processing for the lettings agency, building company, and property investment companies.
3. Prepare VAT returns for the VAT registered lettings agency
4. Provide monthly financial reports, including balance sheets and income statements, for each company.
5. Forecast cash flow for the different businesses and assist in budgeting and financial planning.
6. Coordinate with team members and property managers to address financial queries and provide support as needed.
7. Stay updated with UK tax regulations, particularly those related to property businesses, and ensure compliance.
8. Analyze financial data to identify cost-saving opportunities and provide insights for better financial management.
9. Collaborate with the property companies’ teams to streamline bookkeeping processes and improve efficiency.
10. Handle additional administrative tasks related to the property businesses as required.

**Requirements:**
1. Proven experience in bookkeeping and handling financial records, preferably for property-related businesses.
2. Proficiency in using Xero to manage multiple company accounts.
3. Good knowledge of UK tax regulations, including PAYE, VAT, and corporation tax.
4. Experience in processing payroll for small to medium-sized businesses.
5. Excellent organizational skills and attention to detail to ensure accurate financial data.
6. Strong analytical abilities to forecast cash flow and assist in financial planning.
7. Effective communication skills to collaborate with team members and property managers.
8. Ability to work independently and manage multiple tasks efficiently.
9. Some Flexibility in working hours to accommodate different company schedules.
10. Previous experience as a virtual assistant or bookkeeper for multiple businesses is a plus.

**Salary and Growth Potential:**
– Initial workload: Approximately 2-6 hours per week
– Hourly rate: $5-$9 per hour (subject to negotiation).
– Competency-based growth potential: As competency is proven, additional responsibilities and workload up to 20 hours per week will be offered with potential rate adjustments.
